Role Overview

The specific responsibilities of the Accounts Assistant will include:

Purchase Ledger

  • Create purchase orders correctly in the Navision accounting system, ensuring they adhere to a strict framework and within the required SLAs.
  • Review and capture details relating to third-party costs for entry into sales invoices.
  • Manage supplier relationships, resolving any invoice discrepancies with key staff members.
  • Produce agency reconciliations, including number of staff, hours, site locations and costs.
  • Maintain highly accurate folder structures for reference and audit purposes.

Sales Ledger

  • Provide support for credit control purposes and chase debt via email.
  • Prepare monthly and bi-monthly sales templates for completion.
  • Support in the reconciliation and analysis of recharges, ensuring revenue and margin protection and assurance and providing relevant backup to evidence recharges to clients.

Third-party costs, including Carriage

  • Reconcile weekly carriage costs, allocating costs to clients for analysis and invoicing.
  • Create and maintain monthly/bi-monthly billing reports for third-party costs to be recharged onto clients.
  • Provide support for any queries the Account Managers and clients have regarding invoices.

Month End:

  • Support with the figures for accruals and prepayments.
  • Work alongside the other Accounts Assistant to support the Financial Controller to ensure data is highly accurate, available, and supplied to deadlines.

Month-end responsibilities will grow with the development and confidence of the successful candidate.

Other responsibilities:

  • Monitor multiple Outlook inboxes, ensuring relevant communication in-house and to suppliers and clients.
  • Constantly monitor and improve the quality and efficiency of all services under your control.

Working Hours

This Accounts Assistant role is Monday to Friday, 37.5 hours per week, with the flexibility to adjust the start and end times of your shifts to coincide with the current team's working hours.



Essential Skills

Skills and attributes required to carry out this role include but are not limited to:

  • AAT qualified Level 2 or qualified by experience
  • Strong MS Excel skills, including pivot and lookup tables and good MS Office skills.
  • Excellent attention to detail while maintaining an adaptable and versatile approach.
  • Good verbal communication skills and a high degree of numeracy.
  • Analytical skills - able to investigate and analyse data, identify anomalies and discover their cause and question or challenge data.
  • A team player with a positive can-do attitude who can build strong professional connections across all tiers while upholding confidentiality.
  • A commitment to continual professional development.
  • Self-motivated, organised, and proactive, with the capacity to work independently to deadlines while maintaining high levels of accuracy.
